Galas and award nights

Gala dinner and awards night invitations

A black-tie dinner, an awards ceremony or a fundraising gala. A formal invitation in your brand, replies with names and diets, and a seating plan built from the people who actually said yes.

A quote within one working day · $99 per event · up to 150 people

A formal evening is decided at the tables

At a gala, a missing reply is not a rounding error. It is an empty chair at a sponsor's table, or a guest with no seat. The seating plan depends on exact names, the kitchen on exact diets, and both change until the last week.

How it usually goes

  • A printed or emailed invitation, with replies coming back by phone
  • Names of plus ones arrive late, or never
  • The seating plan is rebuilt in a spreadsheet after every change
  • Diets are collected separately and matched to tables by hand
  • The final list for the venue is sent with mistakes in it

With the invitation and registration

  • A formal invitation with the dress code and the program
  • Each guest names everyone they bring
  • A seating plan built from the confirmed guests
  • Diets next to every name, ready for the kitchen
  • A spreadsheet export for the venue and the host

What you get

A formal invitation in your brand

Dark or light, your logo and colors, the dress code in plain words. It reads like a black-tie evening, not like a form.

Names, not just numbers

Every guest gives the names of the people they bring. You know who is sitting where before the place cards are printed.

A seating plan for the tables

Draw the room, add the tables and seat the confirmed guests. When a reply changes, you move one name instead of rebuilding a spreadsheet.

The evening's program

Reception, dinner, the awards or the auction, music. Each part has its time, so guests know when the speeches start.

Common questions

What should a gala invitation include?

Who is hosting, the occasion, the date and time, the venue, the dress code, the reply deadline and how to reply. A short program (reception, dinner, awards) helps guests plan their evening. If the event raises money, say so on the invitation rather than surprising guests at the door.

Can we make a seating plan from the replies?

Yes. The seating plan uses the guests who confirmed, with the names of everyone in their party. You draw the room and the tables, seat people, and change it as replies come in.

Can guests buy tickets or donate through the invitation?

No. There is no ticket sale or donation payment on the invitation. You collect money your usual way; the invitation handles the replies, the names, the diets and the seating.

Can guests be checked in at the door?

Yes. Every registered guest gets a ticket with a QR code. At the door your staff scan it with a phone, with no app and no account, and you see a live count of who has arrived. We do not print name badges or place cards.

How do we state the dress code?

In two or three words on the invitation: black tie, black tie optional, cocktail attire or business attire. If it is unusual, add one sentence explaining it. Guests read it once, so plain words beat clever ones.

What does it cost?

$99 once per event for up to 150 registered people, with no subscription and no charge per attendee. Larger events, and agencies running several events a year, get a separate quote. The invoice is issued to your company or organization.
