Corporate event invitation wording: 10 examples to copy

Good corporate invitation wording says who is inviting, to what, when and where in the first two sentences, and ends with a reply deadline and how to reply. Everything else (the program, the dress code, parking) goes underneath and stays short. The examples below cover nine kinds of event and a reminder for the people who have not answered. Change the names, dates and places and they are ready to send.

What every corporate invitation needs

  • Who is inviting: the company or organization, and at the end the name and title of the person signing.
  • The occasion in one sentence: a holiday party, an opening, a conference. The company history does not belong in the opening line.
  • The date with the day of the week and a start time, for example Thursday, December 10, at 6 pm.
  • The exact place: the name of the venue and the address, ideally with a map.
  • The reply deadline and how to reply: a link, an email address or a phone number.
  • When it matters: the dress code, the program, parking, and whether guests may bring someone.

Formal or casual: how to choose the tone

Match the tone to the event, not to the company. A gala or an awards night for clients reads well in the third person ("The Board requests the pleasure of your company"). A team day or a holiday party for your own staff reads better in plain, warm sentences ("We are taking the whole team out"). Whichever you choose, keep it through the whole invitation, and keep it short: people read invitations on their phones.

A one-day conference for analytics teams on Tuesday, April 20, at the Riverside Conference Center, 1 Harbor Way.

Eight talks, two panels and a networking lunch. Registration opens at 8:30 am; the first talk starts at 9:15.

Saturday, June 6, from 11 am at 18 Main Street. The ribbon cutting is at noon, followed by refreshments and a look around.

Join us for the launch of Atlas on Thursday, September 24, at 6 pm at The Glasshouse, 9 Canal Street.

A short presentation, then time to try it yourself, with drinks and dinner.

10. A reminder for people who have not replied

Send the reminder only to the people who have not answered. A reminder to everyone makes the people who replied on day one wonder whether their answer arrived.

Mistakes that cost you replies

  • No reply deadline. Without a date, people answer at the last minute or not at all.
  • A date without the day of the week. "December 11" makes people check a calendar; "Friday, December 11" does not.
  • The details in an attachment. Many people never open a PDF on their phone.
  • A long first paragraph. The occasion, the date and the place belong in the first two lines.
  • Asking for replies by email. Answers end up in several inboxes and somebody has to count them by hand.

What should a corporate event invitation say?

How do you word a formal business invitation?

Use the third person and the full name of the host: "The Board of Directors of Northline requests the pleasure of your company at...". Write the date in full, state the dress code, and ask guests to "kindly reply by" a specific date.

Should a company invitation mention whether partners are invited?

Yes, always. Say "Partners are welcome" or "This invitation is for you alone". Leaving it out means a round of questions and an unreliable headcount.

How far ahead should the reply deadline be?

About a week before the event for most parties and dinners, and two weeks for conferences or events with travel. That gives the caterer a final number and leaves you time for one reminder.
