  • They assumed that saying "we will be there!" to you in person counted
  • The reply took more effort than they had at that moment

Only the last one is in your hands, and it is the reason a short reply form matters so much. The rest are why reminders exist.

When should you send the reminders?

  • Three to five days before the RSVP deadline: a friendly nudge to everyone who has not replied
  • Two or three days after the deadline: a short personal message to whoever is still missing
  • A week after the deadline: a phone call to the last few

Set your deadline with this in mind. Three to four weeks before the wedding leaves room for both rounds before your caterer needs final numbers, which is usually around two weeks out.

What should the first reminder say?

Something light that assumes good intentions and puts the link right there, so replying takes ten seconds from the message itself.

What should you send after the deadline?

Something more direct, still kind, that explains why you need the answer. People respond to a real reason (the caterer, the seating chart) far better than to a reminder that a date has passed.

What if they still do not answer?

Call. A two-minute phone call settles what three messages did not, and the guest is usually embarrassed and grateful. If you truly cannot reach someone, count them as not coming, tell them so in a short message, and keep their name on a list in case they turn up. Never count silence as a yes: you will pay for a meal and a chair that may stay empty.

Should you remind people in a group chat?

No. Everyone who has already replied has to read it, and everyone who has not will assume it is aimed at somebody else. Individual messages are the only reminders that work, and they only take a few minutes when the list of who is missing already exists.
